How we built this comparison

Software comparisons in this space are mostly written by one of the vendors being compared. This one is not. We read each vendor's own product pages, announcements and help articles, listed below, and wrote down what they claim and which plan it needs. We did not log into the products, so treat every row as "the vendor says", not "we saw".

Vendor claims about time saved and percentages resolved are left out on purpose. They come from the vendors' own measurements, which we cannot check, and your portfolio will not match their average anyway.

The names in the table are the vendors' names for their features. Two features with the same row can work very differently, which is why the next section matters more than the table.

What each vendor says, in a paragraph

AppFolio: Realm-X

AppFolio describes Realm-X as AI built into its platform that you can ask questions, tell to do common tasks, and teach to repeat them. Its June 2025 announcement named Performers, which are agents for specific jobs (leasing and maintenance were the first two), plus Flows for repeatable workflows and Messages for drafting resident communications. In June 2026 AppFolio announced a connector between Realm-X and Anthropic's Claude, so a manager can start work in Claude that is carried out inside AppFolio under its own controls.

Buildium: Lumina AI

Buildium groups its AI under Lumina AI. Its feature page lists a set of agents it calls the Lumina AI Workforce (maintenance, leasing, accounting, resident experience and business operations), plus three tools: AI Bill Scan for invoices, Write with AI for drafting owner and tenant messages, and an AI Assistant for help with the software itself. The page says all available Lumina AI features are included with the Premium plan.

DoorLoop: AI Assistant

DoorLoop's help centre describes one AI Assistant that answers common tenant questions, triages issues and creates maintenance requests, processes invoices and expenses, drafts tenant messages and listing descriptions, and summarises reports. AI Inspections turn photos and notes into reports and work orders. It is a paid add-on on the Pro and Premium plans, and DoorLoop's own article says to review the assistant's drafts before approving them.

What to ask before you turn it on

The first question is the one that decides the risk. A feature that drafts a message for you to send has the same risk as any draft. A feature that answers residents on its own, or texts vendors on a schedule, is acting in your firm's name while nobody is reading. Find out which kind each feature is, and whether you can switch the sending off.

Ask for the answers in writing, from the documentation or your account manager, before your team starts using the feature with real residents.

Built-in AI or a general assistant?

The honest answer is usually both. Built-in AI sees your data where it lives and can act inside the system, which a general assistant like ChatGPT or Claude cannot do without a connector. A general assistant is better at the jobs that cross systems, or that your software vendor has not built yet, and it costs the same whichever software you run.

If you are choosing a general assistant, here is how to pick between ChatGPT and Claude. Whichever route you take, the prompts that work are the same. The prompt guide covers how to write them.

Your residents' data

Built-in AI reads the same records your team does: names, phone numbers, ledgers, maintenance photos taken inside people's homes. Before it goes live, find three answers in the vendor's documentation or your contract, not in a sales call. Which outside AI provider processes the data, if any. Whether your data can be used to train a model. And how long the AI's inputs and outputs are kept, and who at the vendor can see them.

None of this is a reason to avoid the features. It is the same check you would run on any new system that holds resident records, and your firm's policy should already say who signs off on it. If it does not, that is the gap to close first.

Test it on one job first

Pick one repeated job, run the vendor's AI on a week of it, and compare every output with what your team would have sent. Count the drafts you sent unchanged, the ones you edited and the ones you threw away. That number, from your own portfolio, is worth more than any figure in a press release, including the ones we left out of this page.

Does AppFolio have AI?

Yes. AppFolio calls its AI Realm-X. Its announcements describe a conversational interface, Messages for drafting, Flows for repeated workflows, and Performers for leasing and maintenance.

What is Buildium Lumina AI?

Buildium's name for its AI features: a set of agents for maintenance, leasing, accounting, resident experience and business operations, plus AI Bill Scan, Write with AI and an AI Assistant. Buildium says they are included with the Premium plan.

Is DoorLoop AI included in every plan?

No. DoorLoop's help centre says the AI Assistant is a paid add-on on the Pro and Premium plans and is not available on Starter.

Should I use my software's AI or ChatGPT?

Often both. Built-in AI is better for jobs inside your software. A general assistant is better for jobs that cross systems or that your vendor has not built.
