Leasing and renewals

Lease Renewal AI Agent for Property Managers

Renewals slip when the expiration report sits in a folder. This agent reads the report your software already produces, lines up every lease ending in the window you choose, and drafts the owner approval request and the resident offer for each one, using only the terms you approved.

The problem

Renewals are easy to start late and expensive to lose

A lease that rolls to month-to-month by accident, or turns over because the offer went out late, costs a vacancy, a make-ready and a leasing fee you did not need to spend.

The report exists, the time does not

Your software already knows which leases end in March. Turning that list into forty owner emails and forty resident letters is the part that waits.

Every owner wants a say on the rent

The owner needs to approve the number before the resident sees it, which means two rounds of messages for every lease.

Notice windows do not move

Your lease and your local rules set how much notice a rent change needs. Miss the date and the increase can wait a whole term.

What it does

One file in, three drafts out

It works from the file your software already exports, in your own Claude or ChatGPT account.

Your lease expiration report

Unit 4B, lease ends 31 Jan, current rent $1,450, owner approved renewal at $1,495 for 12 months.

It uses the figures in the file. It does not set rent.

An owner approval request

One short message per owner, grouped when an owner has several leases ending, with current and proposed rent side by side.

A resident renewal offer

The new term, the new rent, the date to answer by and how to answer, written from your own letter template.

A renewal tracker

Every lease in the window with its status, the notice date to work back from, and anything still missing.

Your team checks every draft and sends it from your own system.

What you get

Time back on a job you do every month

Start every renewal on time

Run it at the start of each month against the next 90 or 120 days, whatever window your firm uses, and every lease reaches its notice date with an offer already drafted.

One pass instead of two rounds

The owner request and the resident offer come out together, so the resident letter is ready the moment the owner says yes.

Your template, your wording

Offers go out in the voice your office already uses, with your answer deadline and your instructions for accepting.

Gaps get flagged, not filled

A lease with no approved rent, a missing owner email or an end date that does not match goes on a TO CONFIRM list instead of into a letter.

Set it up once

It learns your firm's rules, then follows them

It asks for these once, then uses them every month. If a setting is missing, it stops and asks instead of guessing.

Rent increase notice periods and limits depend on your lease and on state and local law. Check yours with your own counsel before you rely on them.

  • Your renewal window, for example 90 or 120 days before the lease ends
  • Your notice period for a rent change, from your lease and local rules
  • Your owner approval wording and your resident renewal letter
  • What to do when an owner has not answered by your cutoff
  • Which columns in your report hold the lease end date, rent and owner

Questions

Frequently asked questions

Does it decide the renewal rent?

No. It uses the rent the owner approved, as it appears in your file or your notes. A lease without an approved number goes on a TO CONFIRM list for a person.

Which software does it work with?

Any system that exports a lease expiration or rent roll report, including AppFolio, Buildium, DoorLoop and Rent Manager. You tell it once which columns hold the dates and amounts.

Does it know rent control and notice rules?

It does not decide them. Notice periods and any cap are settings you enter from your lease, your local rules or your counsel, and it checks every offer date against them.

Can it draft non-renewals too?

Yes, for leases you have marked as not renewing. It drafts from your non-renewal template and a person decides and sends.

Which AI does it run in?

Your own Claude or ChatGPT account. It comes as a skill folder with setup steps, so there is nothing to install, no integration and no new login. Your files stay in your account.
