The problem
Every day without an approval is a day the repair waits
The resident is waiting, the vendor is holding the slot, and the owner has a long email they will read later.
Owners stall on long emails
A wall of text about valves and warranties gets saved for later. A clear choice with a price gets an answer.
Quotes are hard to compare
Two vendors quote different scopes, warranties and timing. Someone has to line them up before the owner can choose.
Approval limits get missed
Your management agreement sets what you can approve without asking. Spend above it and you own the conversation.
What it does
One file in, three drafts out
It works from the file your software already exports, in your own Claude or ChatGPT account.
A work order and two quotes
Water heater leaking at the base, 12 years old. Quote A: replace the valve, $380. Quote B: replace with a 50 gallon unit, $1,850 installed.
It works from the quotes and your notes. It does not diagnose.
An owner approval request
What happened, the options and their cost, your recommendation if your notes give one, and the date you need an answer.
A quote comparison
Scope, price, warranty and timing side by side, with any gap between the quotes flagged.
A follow-up for no reply
A short second message for when the owner goes quiet, using your escalation wording.
What you get
Time back on a job you do every month
Faster answers from owners
A clear choice with a price and a deadline is easier to approve than a paragraph.
Your approval limit, checked every time
Every request is checked against the owner's limit from your management agreement.
No surprises on the statement
The owner approved the number before the invoice arrived, in writing.
One format for every owner
Owners learn where the price and the deadline are, and answer faster each time.
Set it up once
It learns your firm's rules, then follows them
It asks for these once, from your management agreements and your office habits. If a setting is missing, it stops and asks instead of guessing.
- Each owner's approval limit, from the management agreement
- Your rule for emergency repairs that cannot wait for an answer
- Your default reply deadline
- Whether your requests include your own recommendation
- Your follow-up wording when an owner does not reply
Questions
Frequently asked questions
Does it recommend which quote to take?
Only from the reasons in your notes, such as age, warranty or a repeat failure. It does not invent a reason.
Does it know each owner's approval limit?
You enter the limits once. Every request above an owner's limit is marked as needing approval, and anything below it is marked as within your authority.
What about emergencies?
Your emergency rule applies. If it allows work before approval, the draft becomes a notice of what was done and why.
Can it read the quote PDFs?
If your AI account accepts files, yes. It quotes figures exactly as written and flags anything it cannot read.
Which AI does it run in?
Your own Claude or ChatGPT account. It comes as a skill folder with setup steps, so there is nothing to install, no integration and no new login. Your files stay in your account.
